So your New Employee Didn’t Provide Their Super Fund Details… This is What You Need to Do.

You did it. You worked your butt of until there was enough work to justify your next (maybe first - woohoo!) employee. There’s plenty to think about when it comes to getting sorted for their arrival, that you’d be (almost, maybe) forgiven for overlooking the fact that they need to send through their superannuation details.

Give Them the Forms Again.

If your employees superannuation details haven’t been provided before they start their employment with you, you need to provide them a Superannuation standard choice form (or similar document requesting the same info) within 28 days of their start date. On this form you must provide the employee with the details of your nominated default super fund - on the standard choice form, this information goes into Section C.

Ask the ATO to Provide the Superannuation Fund Details They Have on Record for the Individual

The Australian Taxation Office have a record of our Super Fund details, and they have a process where you can ask them to provide the details they have on record for your employee where necessary. The fund they have on record is called a “Stapled Super Fund”.

This is how you can request your employees stapled super fund details:

  1. Log in to ATO online services for business

  2. Navigate to the Employee super account screen via the Employees menu, and select Request to open the form.

  3. Enter your employee's details, including their

    • TFN – you can enter an exemption code where an employee can't provide their TFN, but this could result in processing delays

    • full name, including ‘other given name’ if known

    • date of birth

    • address (residential or postal) if TFN not given.

  4. Read and click the declaration to sign it – to request stapled super fund details for additional employees, tick a box under 'more employees to request?'.

  5. Submit your request.

Your Employee Does Not Have Any Superannuation Details on Record with the ATO

After the 28 day period from the start of their employment, if your employee still hasn’t provided their super details, and there is no stapled super fund listed with the ATO, this is when you’d use your default nominated super fund for the employee.

Don’t Have Access for the Australian Taxation Office’s Business Portal?

This is where your friendly neighbourhood Tax Agent (*cough cough* us) would step in. If you don’t have the necessary access to the online Business Portal with the ATO, you’d need to speak to your accountant to help you dig up the information you’re looking for. Registered Tax Agents (again…. us) can access the required information when you are listed with them.
